A Japanese art studio located in Greenpoint, Brooklyn, NY is seeking a Senior Project Manager.
This position will lead multiple projects, including exhibitions, public art commissions, and commercial collaborations, from the planning stage through production, logistics, installation, execution, and completion.
The Senior Project Manager will translate the artist’s vision into concrete project plans and work closely with clients, museums, galleries, public agencies, developers, architects, PR firms, external vendors, and other key stakeholders. This role will be responsible for managing schedules, budgets, quality, and risks to ensure the successful delivery of each project.
The position will also lead a project team of approximately 3–4 members and oversee team development, task assignment, progress management, and quality improvement. <Position Overview>
The Senior Project Manager will oversee important domestic and international projects, including exhibitions, public art commissions, and commercial projects.
This role will develop project plans, schedules, budgets, and execution strategies from the planning stage through completion, while engaging internal and external stakeholders to ensure smooth project execution.
Beyond general project coordination, this position requires balancing artistic vision, business objectives, on-site operations, and stakeholder expectations in order to contribute to both project success and the organization’s growth.
Project Management
・Lead multiple projects, including exhibitions, public art commissions, and commercial collaborations, from planning through completion
・Develop and manage project plans, schedules, budgets, and execution strategies
・Translate the artist’s vision into actionable project plans and deliverables
・Oversee all project phases, including design development, production, logistics, transportation, installation, and deinstallation
・Prioritize multiple projects, deadlines, and resources to build an efficient execution structure
・Identify project risks, bottlenecks, and operational challenges in advance and implement solutions
・Ensure successful project delivery while balancing quality, schedule, and budget
Team Management
・Manage a project team of approximately 3–4 members
・Oversee team development, task assignment, goal setting, and progress management
・Clarify expectations, roles, and responsibilities for project deliverables
・Manage work quality, schedules, safety, and operational efficiency
・Provide feedback and guidance for improvement as needed
・Promote collaboration across teams and foster a professional, results-oriented team culture
Stakeholder Management
・Coordinate and negotiate with museums, galleries, collectors, developers, architects, public agencies, PR firms, external consultants, vendors, and other stakeholders
・Serve as a key point of contact for major stakeholders and facilitate overall project communication
・Build and maintain long-term relationships with clients and external partners
・Act as a liaison between internal teams and external stakeholders to align expectations and resolve issues
・Report project progress, recommendations, risks, and strategic insights to senior leadership
Budget, Operations & Risk Management
・Develop and manage project budgets and optimize costs
・Oversee logistics, transportation, installation planning, deinstallation planning, and vendor management
・Coordinate the review and management of contracts, insurance-related documents, and other legal documents with relevant stakeholders
・Develop and implement risk management and emergency response plans
・Address issues related to project safety, quality, timelines, and costs
・Make logical and business-driven decisions in high-pressure situations
Business Development & Public Relations
・Research and propose new public art projects, exhibitions, and commercial collaboration opportunities
・Support the development of strategic partnerships that contribute to the organization’s growth
・Prepare proposals, presentations, and project-related materials
・Coordinate PR, media communications, public events, and stakeholder meetings
・Represent the studio professionally at external events and industry networking opportunities
Other Duties
・Prepare and manage internal and external documents
・Organize, record, and share project-related information
・Handle general administrative tasks, including email distribution, scheduling, and document management
・Contribute to maintaining and improving the organization’s culture and serve as a role model for the team
<Requirements>
・Minimum 5 years of project management experience in art, design, architecture, cultural institutions, luxury brands, creative agencies, events, or similarly complex industries
・Minimum 5 years of people management experience leading a team of three or more members
・Experience managing multiple large-scale projects simultaneously
・Experience developing and managing project plans, execution strategies, schedules, and budgets
・Strong communication skills with clients, external partners, and internal stakeholders
・Understanding of operational workflows, including production, logistics, transportation, installation, deinstallation, and vendor management
・Experience reviewing and managing contracts, insurance-related documents, and legal documents
・Strong organizational, analytical, and problem-solving skills
・Ability to remain calm under pressure and communicate with consideration for all stakeholders
・Strong sense of responsibility and ability to work independently
・Ability to prioritize tasks and deliver results in a fast-paced environment
・Ability to handle confidential information appropriately
・Ability to travel domestically and internationally as required
・Ability to work on-site at the Brooklyn office
