Senior Project Manager | Japanese Art Studio

A Japanese art studio located in the Brooklyn area of New York City, New York is looking for a Senior Project Manager to join them. The ideal candidate will have experience in overseeing event setups, such as exhibitions, managing on-site direction, and supporting retail sales. A background in operations management within the hospitality or event industries is highly desirable for this role.

 

<Job Overview>

This position involves the comprehensive management of projects including exhibitions and public art. Based on exhibition content agreed upon with clients, you will prepare detailed plans, manage and develop a team of three, and ensure smooth execution through coordination. You will collaborate and negotiate with clients and stakeholders while strictly adhering to deadlines and budgets. Additionally, you will expand new public art opportunities for an artist and contribute to the organization’s growth.

 

<Job Duties>

・Develop team members and manage goal achievement (approximately 3 members)
・Comprehensive project management from planning to execution for exhibitions, public art, and commercial collaborations (including design progress, deployment, and coordination)
・Create project timelines and coordinate stakeholders (team/client/external) to meet deadlines
・With supervisor approval, coordinate and negotiate exhibition setup, logistics, and risk mitigation
・Operate projects with budget management and maximized cost efficiency
・Compile exhibition details agreed upon with clients and coordinate the team for execution
・Report progress and key milestones to superiors in a timely manner
・Build and maintain positive relationships with galleries, clients, and external stakeholders
・Evaluate exhibition and inquiry opportunities and create proposal materials (research/verification)
・ Draft press releases, handle media inquiries, and coordinate related activities
・Develop and oversee emergency response plans (crisis management)
・Review legal documents such as contracts
・Conduct research and make regular proposals to expand artist exposure
・Manage and improve team members’ task assignment, quality, scheduling, and safety
・Perform general administrative duties including document creation/management and email distribution
・Contribute to maintaining organizational culture and demonstrate exemplary behavior

 

<Requirements>

・Bilingual in Japanese and English
・Able to work on-site and travel for business
・5+ years of project management experience
・5+ years of team management experience with teams of 3+ members
・Exceptional communication skills
・Strong work ethic enabling independent task execution
・Process-driven approach with ability to deliver results in fast-paced environments
・Willingness to expand responsibilities as needed
・Ability to remain calm under pressure and demonstrate consideration for others
・Skill in logically organizing information and solving problems
・Understanding of confidentiality and ability to handle sensitive information appropriately
