A Japanese manufacturer located in Dallas, Texas is seeking an Office & Administrative Coordinator.
<Responsibilities>
• Manage company vehicle lease agreements, including renewals, insurance coordination, and
maintenance scheduling
• Serve as the primary system administrator for our HR platform (TriNet), including
onboarding/offboarding workflows, employee data maintenance, and troubleshooting
• Oversee day-to-day office IT operations: device provisioning, account management, vendor
coordination, and basic helpdesk support
• Manage contracts for business software and SaaS tools used company-wide — including
renewals, cost tracking, vendor negotiations, and maintaining proper documentation
• Act as a liaison between the U.S. office and Japan headquarters — translating
communications, documents, and meeting content as needed (Japanese ↔ English)
• Coordinate general office administrative tasks such as vendor management, supply ordering,
and facilities oversight
• Support the President with scheduling, internal reporting, and ad-hoc projects as required
<Requirements>
• 3–5 years of experience in office administration, operations, or a similar generalist role
• Full professional proficiency in both English and Japanese (written and spoken) — required
for daily communication with Japan HQ
• Experience administering HR software platforms (TriNet or similar HRIS preferred)
• Comfortable with IT administration tasks (device setup, user accounts, Google Workspace or
Microsoft 365)
• Experience managing software/SaaS vendor contracts, including renewals, cost tracking, and
documentation
• Strong organizational skills with the ability to manage multiple priorities with minimal
supervision
• Discreet and professional when handling confidential employee and company information
<Preferred Qualifications>
• Experience managing fleet or vehicle lease contracts
• Prior experience working in a U.S. subsidiary of a Japanese company
• Familiarity with U.S. employment compliance and benefits administration
