Client Support Coordinator(CSC)|Japanese Artist Studio

A Japanese artist studio in Brooklyn, New York seeks a Client Support Coordinator.

 

<Job Overview>
The Client Support Coordinator is responsible for a variety of administrative and coordination tasks that support the
studio’s billing, sales, and client relations operations. This role plays a key part in ensuring smooth communication
between clients, management, and external partners while maintaining a high level of accuracy and professionalism
in all administrative processes.

 

<Responsibilities>
1) Billing and Accounts Receivable:
・ Verify client and order information upon order confirmation, generate accurate invoices using internal systems,and send them to clients.
・ Prepare sales agreements and coordinate legal reviews with external counsel.
・Communicate with clients and relevant parties regarding shipment status, delivery schedules, shipping methods, quantities, and other order details.
・ Arrange appropriate insurance coverage for artworks during shipping and share policy details with relevant stakeholders.
・ Monitor accounts receivable, track outstanding or delayed payments, prepare status reports, and escalate irregularities to management as needed.
・ Coordinate with external accounting firms to confirm payments, match them with invoices, and resolve discrepancies in a timely manner.
2) Client Relations Support:
・ Foster and maintain strong client relationships by providing attentive, reliable, and personalized support to ensure a positive experience with each artwork purchase.
・ Coordinate artwork shipments in line with studio policies to ensure a seamless and professional client experience.
・ Update artwork locations in the artwork list in collaboration with the project management team, and assist with storage management and insurance documentation.
・ Handle administrative tasks related to warehouse operations and art storage logistics.
・Organize and maintain digital records and archives, ensuring accuracy, accessibility, and correct file formats.
・ Arrange delivery of the Artist’s monograph and other studio materials as needed.
・Prepare artwork lists for photo shoots, schedule photographers, oversee photo sessions, and maintain image archives for use across internal records, the website, and other materials.
3) General Administrative Support
・ Perform additional duties and responsibilities as required or assigned by management.

 

<Requirements>
・ Proven ability to understand leadership direction and exercise sound judgment in determining appropriate actions within the scope of Client Support Coordinator responsibilities.
・Strong organizational and analytical skills to review, assess, and manage information related to client, project, and administrative operations.
・Exceptional attention to detail and accuracy in preparing invoices, contracts, and other documentation.
・ Flexibility and adaptability in managing multiple priorities and responding effectively to shifting demands in a dynamic studio environment.
・ Commitment to upholding and implementing studio policies, procedures, and operational standards consistently.
