Administrative Assistant

日本語: 日本語で読む

Administrative Assistant and Executive Assistant interviews often include a version of “What do you do when several urgent requests arrive at once?” Saying that you multitask well does not show how you protect deadlines, confidential information, or other people’s work.

A strong answer shows that you capture every request, compare deadlines and business impact, identify dependencies and confidentiality constraints, communicate conflicts early, and document any agreed change. Use one example that separates your recommendation from the manager’s final decision.

What is the interviewer testing with a priority question?

Administrative priority setting is more than shortening a task list. Meetings, visitors, payments, announcements, records, and leadership requests can compete for time. O*NET’s 2026 profile for Secretaries and Administrative Assistants includes scheduling, file maintenance, information routing, meeting records, events, and work procedures among the occupation’s activities.

Across current HRAIT Public Jobs, recurring signals include task management, priority setting, calendars, action-item follow-up, confidential information, and internal and external communication. The useful evidence is how you captured work, checked impact, raised a conflict, and tracked completion.

Which criteria should an Administrative Assistant use?

Separate the deadline from the consequence of delay

The earliest deadline is not automatically the highest priority. A visitor change, a payment approval packet, and meeting materials have different consequences. Confirm the due time, affected stakeholder, cost of delay, and whether the timing can move.

Identify dependencies and approval waits

Start work that blocks another team when possible. Divide requests into what you can complete now, what needs clarification, and what depends on another person. Use approval time to progress work that is not blocked.

Keep confidentiality and access controls in the decision

HR, payroll, customer, and leadership information cannot bypass the correct recipient or approval path because it is urgent. Verifying access and distribution may itself be the first priority.

How do you build a credible interview example?

  1. Situation: name the competing requests and real deadlines.
  2. Assessment: explain the impact, dependency, and confidentiality checks.
  3. Communication: show who received the conflict, options, and timing.
  4. Execution: name the calendar, task tracker, shared list, or CRM used.
  5. Result: state what finished, what changed, and how stakeholders knew.

Do not claim authority you did not have. If a manager made the final call, say that you organized the impact and options, requested the decision, and then updated the plan.

What does an improved priority answer sound like?

Weak answer

“I am good at multitasking, so I start with the most urgent work and move quickly.”

This leaves urgency undefined and says nothing about the remaining requests, communication, or outcome.

Improved sample

When monthly meeting materials, a same-day visitor change, and a payment approval packet overlapped, I listed the deadlines and downstream owners. I updated the visitor details first because the start time and customer impact were fixed. I then requested the missing payment document before the approver’s cutoff and told my manager when the meeting packet would be ready. I updated the task list and calendar after each change. All three items met the agreed timing, and each owner could see the current status.

Adapt this structure to your actual work. Use only volumes and results you can explain, and distinguish your own contribution from the team’s result.

Summary: prove judgment, communication, and follow-through

A priority answer should not celebrate being busy. It should prove that you captured requests, compared deadlines and impact, protected dependencies and confidential information, raised conflicts early, and tracked the agreed plan to completion. Write one real example in that order, then align it with the administrative work at the center of the target posting.
