A Japanese retail company located in New York, NY is seeking an Office Administrator.

 

<Position Summary>
This position conducts appropriate office procedures with high ethical standards, and provides various support for
employees which make the work environment comfortable. As the first inquiry contact of visitors or business
partners, it also maintains a positive and bright corporate image by customer service, e-mail or phone call.

 

<Job Description>
・Manages office equipment and/or assets.
・Answers phone calls(Takes messages or puts person in charge if necessary).
・Serves guests.
・ Organizes necessary documents for employment or business operations(Takes copy and/ or converts them to
PDF file and keeps them in appropriate places for each).
・ Prepares for meetings and makes records of it for staff.
・Arrange business trips for staff.
・ Communicates with operating staff and supports them(Expense calculations etc.).
・Communicates with clients, or orders all sorts of supplies by email or phone call.
・ Manages schedule of employees(Online registration etc.).
・ Receives all sorts of mails, and also, checks and reports its contents if ordered by managers.
・ Operates support work such as submission to each jurisdictional office.
・ Operates all sorts of applications according to company procedures.

Other & miscellaneous
・Seeks constant improvement, more efficient and less expensive ways and means in work processes.
・ Performs special projects and other miscellaneous duties as assigned by Managements.
・Maintains high ethical standards in the workplace.
・Reports all irregular issues and problems to Managements for solution.
・ Maintains good communication with management, office staff members and outside contacts.
・ Complies with all company policies and procedures.
・Responsible for maintaining a clean and safe working area

 

<Requirements>
・High School Diploma; or equivalent combination of education and experience.
・ Well-experienced as an administrative staff
・ Attentiveness to detail
・Business performance skills which don’t need the supervisors’ management
・ Superior time management skills and multitasking skills
・ Superior communication skills
・ Security control skills
・General office skills including e-mailing or office software
