We are looking for an Assistant Project Manager at a renowned Japanese artist’s studio in Brooklyn, New York.
<Job Overview>
The Assistant Project Manager is responsible for the end–to–end management of exhibitions at museums,
galleries, and public art projects. This includes all stages—from initial planning and coordination to
installation, on–site operations during the exhibition, and final deinstallation.
In alignment with the vision of artist, the Assistant Project Manager will also actively
contribute to identifying and developing new creative opportunities. The role requires close collaboration
with both internal team members and external partners to streamline operations and maintain the studio’s
high standards of quality.
<Responsibilities>
・ Manage all phases of exhibition and public art projects, including planning, logistics, installation, and
merchandise coordination
・Create and manage detailed project timelines; coordinate with internal teams, clients, and external
vendors to ensure deadlines are met
・Oversee scheduling, task assignments, and budget negotiations to ensure alignment with the goals and studio management
・Optimize project costs and ensure operations remain within budget while maintaining quality
・Provide clear and timely communication to managers, team members, and stakeholders throughout
the project lifecycle
・Build and maintain strong working relationships with galleries, clients, and external partners
・Research and evaluate potential exhibitions and project inquiries; prepare detailed proposals to
support leadership decision–making
・Collaborate with PR agencies and other partners to plan and execute initiatives that enhance
Artist’s public presence
・Identify potential project risks and respond quickly and effectively in the event of issues
・Lead contract negotiations in collaboration with external experts to protect the studio’s interests
・Serve as a role model for professional conduct and performance, promoting a positive, collaborative
team culture
<Requirements>
・Bachelor’s degree in Project Management, or a related field (or equivalent professional experience).
・Minimum of 2 years of experience of project management experience, preferably in the art, design,
museum, or creative production industries.
・Proven experience coordinating exhibitions or large–scale creative productions/events from concept
to completion.
・Strong organizational skills with the ability to manage multiple projects simultaneously under tight
deadlines.
・Excellent communication and interpersonal skills; able to liaise effectively with artists, curators,
vendors, contractors, and internal staff.
・Detail–oriented with strong problem–solving skills and the ability to anticipate and mitigate risks.
・Financial literacy and ability to manage project budgets, contracts, and vendor negotiations.
・Flexible, proactive, and solution–driven mindset.
・Comfortable working in a fast–paced, entrepreneurial, and creative environment.
・Strong sense of responsibility and ownership of tasks, with the ability to work independently and
collaboratively.
・Ability to work flexible hours, including evenings and weekends, when required for installation,
events, or deadlines.
・Willingness and ability to travel domestically and internationally as projects require.
