HRAIT/aiTWorks, a Japanese IT and Recruiting company, is looking for a CEO Assistant (Secretary) position currently.
This is a hybrid work position, which includes both remote work and commuting to our Shinagawa office. (2–3 days of remote work per week, with the remaining days working at the Shinagawa office.)
As the CEO’s secretary, you will support the representative to ensure smooth operations. The position involves a wide range of responsibilities, including schedule management, coordination, document preparation, and visitor handling, while facilitating seamless communication both internally and externally.
<Job Description>
・Schedule Management: Adjusting the CEO’s schedule, setting up meetings, arranging business trips (domestic flights, hotels, transportation), and reminding about important deadlines and tasks
・Document and Material Preparation: Preparing and organizing meeting and presentation materials, drafting and managing internal and external documents and emails, and managing and filing contracts and critical documents
・Meeting and Event Support: Preparing for meetings attended by the CEO, taking meeting minutes, coordinating and sending invitations for meetings with business partners and internal staff
・Visitor, Phone, and Email Handling: Welcoming key clients and business partners, managing phone calls and emails, and providing interpretation and translation services (English/Japanese) when necessary
・General and Administrative Support: Processing invoices following the CEO’s instructions, conducting internal and external research in ・English, and handling other tasks to support the CEO’s work
<Requirements>
・Native-level Japanese and business-level English (TOEIC score of 700 or above)
・Basic computer skills
・Experience in interpretation, translation, or secretarial work is preferred
・Ability to commute to the Shinagawa office in Tokyo (hybrid work)
・Preference for candidates with certifications such as Secretary Skills Test, Business Manners Test, Japan Business Document Proficiency ・Test, or International Secretary Certificate
