Accounts Payable and Accounts Receivable interviews may ask what you would do when an invoice, purchase order, receipt, payment, or customer record does not agree. “I would fix it immediately” skips the evidence, approval, and audit trail.

A credible answer shows that you pause the affected transaction within your authority, compare source documents with system records, classify the discrepancy, request the right approval, make only the authorized correction, and document the reason and communication. State clearly when an Accountant or Manager owns the final judgment.

What does an invoice-discrepancy question test?

O*NET’s 2026 profile for Bookkeeping, Accounting, and Auditing Clerks includes checking figures and documents for accuracy, reconciling or reporting discrepancies, and maintaining financial records. The question tests whether a candidate can trace evidence, avoid unsupported changes, preserve approval boundaries, and leave a usable record.

Across current HRAIT Accounting Assistant, Accounting Clerk, and Bookkeeper postings, recurring work includes AP, AR, invoice entry, vendor payments, inquiries, reconciliations, and audit support. The evergreen signal is controlled investigation rather than fast data entry alone.

Which records should you compare first?

Identify the transaction

Confirm the vendor or customer, invoice number, date, amount, currency, terms, and related purchase or sales order. Check for duplicate entry and the wrong entity, location, or account.

Compare quantity, price, receipt, and approval evidence

Review ordered quantity, unit price, discount, tax, freight, receiving record, contract, and approval. A price difference, quantity difference, missing receipt, timing issue, or coding issue requires a different owner.

Confirm the controlling source and procedure

Do not assume the system screen is always correct. Identify the source record and approval path defined by company procedure. When source documents conflict, contact the appropriate owner in Purchasing, Sales, Warehouse, the vendor, or the customer.

How should you explain an AP or AR investigation?

  1. Contain the impact: within your authority, hold or flag an incorrect payment, invoice, or cash application.
  2. Collect evidence: assemble the invoice, PO or SO, receipt, approval, payment, and relevant correspondence.
  3. Classify the difference: amount, quantity, freight, tax, currency, duplicate, coding, timing, or missing approval.
  4. Ask the owner: summarize the difference, evidence, deadline, and required decision.
  5. Correct after approval: follow the company’s procedure for the adjustment, credit, rebill, or other action.
  6. Preserve the trail: record the reason, approver, date, source documents, communication, and preventive action.

Procedures differ by company and system. Escalate tax, contract, revenue-recognition, and other judgment questions to the responsible Accountant, Controller, or qualified adviser. This article is career guidance, not individual accounting, tax, or legal advice.

What does a strong discrepancy answer sound like?

Improved sample

When a vendor invoice exceeded the purchase order, I did not finalize the payment. I compared the invoice number, unit price, quantity, freight, and receiving record. The difference was added freight, but the approval was missing. I sent Purchasing the evidence and cutoff, then processed the invoice under company procedure after manager approval. I attached the approval and discrepancy reason in the system, updated the vendor on timing, and tracked the item until it left the month-end exception list.

Claims to avoid

  • “I made the numbers match.” It does not identify the source or approval.
  • “It was the vendor’s mistake.” It assigns blame before verification.
  • “I handled all accounting.” It obscures processing, review, and final judgment.
  • “I never make errors.” It provides no investigation or learning evidence.

Summary: connect the evidence before correcting the record

A strong AP or AR interview answer does not make a discrepancy disappear. It contains the impact, compares source documents with system data, classifies the cause, routes the decision to the right owner, applies an approved correction, and preserves the trail. Select one real discrepancy and map its evidence, approval, communication, and result before the interview.
