Office Staff

A large Japanese food wholesaler in Santa Fe Springs, CA is looking for an administrative staff member to join.

<Job Summary>

Contribute to the efficient operation of the team by providing support to key account managers and other team members in Japan in the pursuit of our sales expansion.

The job is to assist the team in managing and coordinating day-to-day operations and serve as the primary point of contact with the various customers involved in the business, external customers, internal branch personnel, and the headquarters staff in Los Angeles.

Responsible for office and administrative duties including order entry, customer contact, and managing communications regarding inventory status.

 

<Job Description>

  • Prepare periodic reports, providing detailed information on sales volume, potential sales, and status of active deals.
  •  Maintain product knowledge to ensure customers, and internal employees, receive excellent service.
  •  Review customer orders and ensure orders are processed through the order processing system
  •  Respond to phone calls and emails
  •  Respond to customer inquiries and complaints
  •  Check inventory
  •  Organize, maintain, and file relevant records, such as orders received, vendor communications, commission information, etc.
  •  Cross-functionally communicate with all internal employees involved in business needs.
  •  Monitor and update shipping/receiving schedules.
  •  Follow up with relevant parties (product development, logistics, vendors) to ensure timely and accurate delivery
  •  Responsible for daily registration tasks such as printing invoices, reconciling with purchase orders, verifying payments, mailing invoices, preparing payment instructions, and keeping permanent copies
  • Provides product information to customers, etc.

 

<Requirements>

  • High School Diploma
  • Minimum of 4 years of office or business experience
  • Experience with MS Office (Excel, Outlook, Word)
  • Marketing background is a plus
  • Knowledge of Asian food products
  • Experience with Oracle ERP system is a plus

Working Hours Work 5 days from Monday to Friday 8 hours a day
Saturdays, Sundays, and holidays are off.
Break time: 1 hour
Salary 18.00 to $26.00 per hour
