Import Coordinator | Major Logistics Company

A major Japanese logistics company located in South San Francisco, California is recruiting for the position of Import Coordinator.

The company operates international transportation services and has offices in various countries around the world.

 

<Job Overview>

The position will be responsible for handling tasks related to cargo imported via ocean or air freight for customs clearance.

 

<Job Responsibilities>

  • Receive and handle communications and additional requests for information from customers for the purpose of information gathering.
  • Follow up on previous information and requests, including checking the customer’s EDI system to obtain additional information.
  • Contact shippers, shipping lines, and airlines to obtain arrival information.
  • Send arrival notifications to customers and coordinate with their customs brokers as necessary.
  • Issue customs/bonded documents and arrange deliveries as required.
  • Send emails when responding to urgent shipments to expedite cargo handling and release. For cargo pick-up, release is made upon receipt of formal Delivery Orders and/or payment.
  • Assist the sales and customer support departments with import-related inquiries when needed.
  • Contact trucking companies to arrange special deliveries and process Proof of Delivery (POD).
  • Notify the arrival of cargo and handle document coordination as needed.
  • Create new files and enter freight, terminal charges, document fees, communication charges, and other additional fees. Request payments when necessary.
  • Prepare debit invoices based on accurate and timely provided invoices to customers. Issue invoices to customers.
  • Assemble documents for import customs clearance and import files.
  • Dismantle document pouches and composite shipments when necessary, and create manifests as needed.
  • Process T.E. entries, print delivery orders, and print entry permits.
  • Generate calculations and reports as needed and update and manage specified spreadsheets.
  • Scan all documents with Kyocapture and file them appropriately.
  • Continuously seek improvements and explore means to make job processes more efficient and cost-effective.
  • Perform special projects and other miscellaneous duties assigned by the management. For example, may function as a backup for logistics and warehouse tasks.
  • Maintain high ethical standards in the workplace.
  • Report all unusual problems or issues to the supervisor and seek solutions.
  • Maintain good communication with management, office staff, and external parties, among others.

 

<Requirements>

  • Must have a valid U.S. work visa.
  • Even inexperienced candidates are welcome to apply.
  • Candidates with experience in import/export and logistics will be preferred.
  • Candidates who can handle Japanese language communication will be preferred.
  • Business-level proficiency in English is required.
